The Administrator works under the direction of the South Shore District Soccer Association Board of Directors and operationally reports to the President.
This is a term, contract position from May 1, 2024 to October 31, 2024 with the possibility of yearly renewal. The workload will vary based on time of the season with the spring season being the most active.
Job Summary
The Administrator is a strong organizer with exceptional computer skills who will lead the coordination and scheduling of summer soccer activities on behalf of the South Shore District Soccer Association. The Administrator has a passion for soccer and builds strong relationships among club executives throughout the SSDSA. They act as a liaison with Soccer Nova Scotia and a resource regarding SSDSD Rules and Regulations and SNS Policies and Procedures (and related documents). The Administrator is a communicator who ensures the appropriate information is communication to the appropriate individuals/groups in a timely manner.
Responsibilities include:
League Scheduling and Administration 70%
- Create leagues, assign teams to leagues and input associated schedules using the RAMP system.
- Work with the District’s Referee Assignor with scheduling and rescheduling of games.
- U11 and up season starts the week of June 3rd and will end by August 9th
- U9 season will begin June 10th and end by Aug 16th
- Publish and disseminate final U11 & up schedules by May 28th
- Publish and disseminate final U9 schedule by the June 4th.
- Finalize Playoff schedule by August 12th and playoff games need to be completed for U13 and up by August 23, 2024 to allow 7 days’ notice to be given to SNS of which teams have qualified for Provincials from all SSDSA viable (4 teams or more) leagues.
- Organize and attend a mid-season U7 Jamboree.
- Organize and attend U11 Jamborees (1 for the girls teams and 1 for the boys teams) on the weekend of August 17/18 2024
- Follow SSDSA Rules and Regulations with regards to changes to the finalized schedule and disseminate any schedule changes asap.
- Be aware of forecasted weather and be available to be contacted on league game weekdays incase of weather-related cancellations to follow required communication procedures.
- Work with District Treasurer to prepare and distribute Club invoices by July 15th.
- Manage leagues in accordance with SNS Policies and Procedures and SSDSA Rules and Regulations.
- Actively work with clubs and coaches to ensure all required information on players, teams and games is entered into RAMP in a timely manner.
- Act as a resource to navigate clubs to relevant SSDSA Rules and Regulations and SNS Policies and Procedures (and related documents) as required.
- Create a draft League Handbook
SSDSA Communication and Coordination 10%
- Liaise with Soccer Nova Scotia and other Districts and Leagues as required
- Receive Association inquires and concerns and direct them as required
- Maintain and update the Association’s website, including the posting of news, programs and events.
- Prepare notices or advertisement to promote programs or events in local media when required (including social media).
Summer League Provincial Tournament Coordination 10%
- Act as SNS Representative to provincial tournament hosted by our district in late August/early September.
- Lead a local planning committee to plan, organize, recruit and coordinate volunteers to host the event.
- Carry out key coordination activities including chairing a pre-competition meeting and ensure awards are presented.
- Be present throughout the weekend to trouble shoot and lend support as required.
SSDSA Board of Directors 10%
- Attend monthly board meetings as required to support league scheduling and administration and district communication activities including interim reports.
- Participate in sub-committees of the board as required to support league scheduling; communication activities and the implementation of SNS Policies and Procedures and SSDSA Rules and Regulations.
- Prepare a final report for the SSDSA AGM (fall).
Knowledge, Skills and Experience
- Knowledge of Soccer Nova Scotia structure, policies and regulations
- Knowledge of South Shore District Soccer Association structure, bylaws, rules and regulations
- Strong computer knowledge and skills including proficiency in word, excel and social media tools.
- Exceptional organization and communication skills.
- Website design including content and organization.
- Previous experience in using sports management applications and scheduling software is considered an asset.
